The Collective will offer specific services to productions on behalf of members. Initial services will include:

Payroll Services

A full‑service, production‑grade payroll solution that handles crew and cast payments, withholding and remittances, compliance, and cash‑flow smoothing for film, TV, and digital productions. We combine local expertise with production‑specific workflows so producers can focus on creative and schedule.

Core Capabilities

End‑to‑End Payroll Processing

  • Onboard crew/cast (KYC collection, contracts, tax forms).
  • Timecards and day‑rate management, including overtime, per diems, kit rentals, and mileage.
  • Weekly or bi‑weekly payroll runs; multi‑currency support where applicable.
  • Digital pay stubs and consolidated payroll reports.

Tax & Statutory Compliance

  • Calculation and remittance of local statutory deductions and contributions as applicable (e.g., income tax withholding, social security/NIS‑type contributions, education tax equivalents where required by jurisdiction).
  • Year‑end statements for workers and production companies.
  • Audit‑ready records retained per statutory timelines.

Contracts & Documentation

  • Templates for deal memos, start forms, NDAs, and call sheets.
  • Support for loan‑outs / PSCs and mixed employment models.
  • Union/association minimums (where applicable) integrated into rate logic.

Cash‑Flow & Financing Support

  • Payroll Advance Facility : We can advance payroll against confirmed receivables (e.g., distributor MGs, grants, tax rebates) to keep shoots moving when cash lands late.
  • Collective Equity Agreement: Reduced crew rates with the difference treated as cash equity investment

Data, Reporting & Cost Control

  • Department‑level cost tracking (above/below‑the‑line).
  • Variance analysis versus budget.
  • Export to accounting systems; clean wrap reports for financiers.

Worker Experience

  • Fast digital onboarding (mobile‑friendly).
  • Direct deposit, mobile wallets (where available), or cheque options.
  • Self‑service portal for pay history and tax forms.

Employer of Record (EOR) Services

Employer of Record (EOR) is a turnkey workforce solution in which The Collective becomes the legal employer of cast and crew for the duration of a project or slate. We handle onboarding, contracts, payroll, statutory deductions, benefits administration, compliance, and offboarding, while the production retains full control over day‑to‑day direction, schedules, and deliverables.

In short: you direct the work; The Collective carries the employer risk and admin load.

Local Hiring & Onboarding

  • Role‑specific employment contracts aligned to local laws and union/collective agreements (where applicable).
  • KYC, right‑to‑work verification, tax and social security registration for new hires.
  • Fast on‑ramp for daily hires, weeklies, and fixed‑term engagements.

Payroll & Payments

  • Weekly or bi‑weekly payroll runs for crew and cast (day rates, time‑and‑a‑half, turnarounds, per diems).
  • Gross‑to‑net calculations, statutory deductions, employer contributions, and payslips.
  • Multi‑currency capability (e.g., USD/JMD/TTD/BBD), with transparent FX handling.

Tax & Statutory Compliance

  • Withholding, remittance, and reporting of income tax, national insurance/social security, education or housing levies (as locally required).
  • Year‑end statements for workers; periodic filings for the show.

Benefits & Protections

  • Local statutory benefits administration (leave entitlements, public holiday rules).
  • Access to group health/accident options for crew (project‑based or rolling coverage).
  • Optional workers’ compensation, production liability, and travel/medical add‑ons.

Contracts & Labor Relations

  • Templates tailored for film/TV roles (department head vs. day player, minors, drivers, stunts).
  • IP assignment and confidentiality clauses aligned with distributor/legal delivery requirements.
  • Guidance on working hours, rest periods, and H&S to meet insurance and completion‑bond standards.

On‑Set & On‑Location Support

  • Starts paperwork, deal memos, kit rentals, mileage claims, and per diem reconciliation.
  • Rapid onboarding pop‑ups near set; digital onboarding via mobile for remote locations.

Offboarding & Records

  • End‑of‑project settlements, separation documentation, and record retention for audits/delivery.

Production‑Facing Tools

  • Producer dashboard with headcount, costs-to-date, burn rate, and compliance status.
  • Timecard capture (mobile), e‑sign contracts, and document vault.
